Beware of National Pen Company – A Ripoff All The Way Around

Don't let this happen to you...

National Pen Company (consumer site and corporate site) creates promotional / specialty products (pens with your company name on them, your company logo stitched onto a computer bag, etc.).

VIPCG (full disclosure, I work worked for the firm) is a management consulting firm with offices in New York and Lagos, Nigeria, that, in addition to in house corporate engagements, also runs a variety of Leadership workshops around the world.

On June 4th, begins this 5 month tale of terrible customer service, awful quality assurance, and what has sadly become the norm/standard for company /client relations. A bright spot was that I had half-work/half-vacation freedom and was conducting most of my business at Bidonville Coffee and Tea – a lovely, cozy coffee shop in Fort Greene, Brooklyn. If anyone is interested, I’ve included just about all the emails below. Though I understand that phone calls typically push things along, I often revert to email to have a record.

This is a really long post. If you don’t have the time or desire to read this, the moral of the story is to never ever under any circumstances use National Pen Company for anything. They’re an inefficient and terribly managed organization with absolutely no regard for it’s prospects (this may perhaps be true for customers as well but we never made it that far). Be aware or don’t deal with National Pen Company. They are a ripoff shady organization.

Thursday, June 4, 2008 In preparation of a week-long Leadership Development seminar being offered in New York, I went about ordering some promotional items from National Pen. I called them up, got to speak with Natl Pen Employee Name REMOVED, we went over the order details and agreed we’d talk the following day.

Thursday, June 5, 2008 The next day we exchanged emails, detailing both the order (50 count Composition Notebook with Quasar Pen, and 25 count Intrigue Briefcase) and submit our in-house artwork that was to be used for the Notebook with Quasar Pens, and Intrigue Briefcases and shipping information. I also said I needed to see “need to see complete invoice with delivery info”.

Friday, June 6, 2008 My rep at pens.com, sends me an email containing our account number and our order numbers and advises that when he receives the artwork back from his artwork back from his art department, he will send the approval to me and then call to make sure that I got it. He will also include payment information with the artwork. In a later email he asks for billing address info. I send it to him. I also ask about turnaround time.

Friday, June 6, 2008 (things begin to get funny) They’ve now had the artwork for a full day. I imagine they should be ready to show it to me. I ask. His response “it should be later today or Monday” and adds that “it should take about 15 business days for you to receive” the finished goods. This is a little longer than I’d like. Especially since on their website it clearly says that total turnaround time form production to delivery is 9 days.I ask if there is anything to shrink production time. Don’t hear anything back. Also ask if notebook and pen will be imprinted with the artwork. Hear nothing.

Saturday and Sunday, June 7-8, 2008 A lovely weekend in Brooklyn. Hang out. Go to Church. Awesome.

Monday June 9, 2008 Get an email with Purchase Order for the Composition Notebook with Quasar Pen side of the order but not the Intrigue Briefcase. Still nothing about shortening lead time. I ask again about the notebook and pen:

and Just want to be clear that there will b an imprint on BOTH the pen and the notebook cover….is not clearly indicated here. Please confirm this for me.

His response:

To print on the pens there will be an extra charge of $30 for the pen setup .27 cents for a running charge per piece This would add $43.50 to the subtotal.

I would (wrongly) assume that: 1 – I shouldn’t have to ask this as I believe most people (normal or not) would agree that when you go to buy an imprinted product that has 2 parts, both parts would get imprinted. Anyway, I ask him to forward an updated sales order acknowledgment and artwork proof for the pens to me to OK. Since its been nothing but crickets on the Intrigue Briefcase artwork I inquire about that. Crickets.

Tuesday, June 10, 2008 Getting annoyed. Nothing about the briefcase. Nothing about speeding up delivery time. Day Four of this ordeal and though I should have probably given up and selected a new vendor at this point, I figured that I’d already invested so much time and that National Pen would be able to turn it around once we finalized things.

I get an email from my rep:

Please look over this and make sure that everything is correct, If it is just forward the email back with your approval or sign all pages and fax back to 888-672-7004 attn: Josh. I am unable to release this without your approval. It is recommended to print all pdf files if supplied to view your artwork at actual size. 100% is actual size, anything bigger is blown up to show detail.

I respond:

OK The Quantum pen and notebook has my approval only if the logo is to be printed in white. I thought we discussed this earlier and am surprised to see it in black. Please advise and revert.

Clear enough. Right? Just answer my question then we finalize. (wrong, again)

I get another email regarding the Intrigue Briefcase. Still nothing about speeding up the process. Nothing about the logo issue with the Quantum Pen (above). The artwork for the Intrigue Briefcase is just terrible. My response:

This is terrible.

1 – The logo is very messed up
2 – Not in color w/ the gradients etc. I was told this could be done in color.

I’ve reattached the artwork. Kindly re-submit soonest.

Pulling my hair out at this point. Make some calls to the rep. Crickets. Nothing about speeding up the process. Now he tells me there is ANOTHER cost. See below:

Still nothing about speeding up the process. More hair comes out. Then, another email from the rep. Again no returned call. He says:

I am sorry Forgot to put this the listed below on the approval.
NEED IN HANDS: ASAP
PRODUCT COLOR: BLUE
IMPRINT COLOR: WHITE

I was also having issue with him getting the mailing address wrong. He’s sending me incomplete sales order slips.

OK please first update the sales order acknowledgement to reflect what you forgot to put in and forward to me also the shipping address should not include my name and read as follows:

Lame. Still nothing about the Quantum artwork.

Wednesday, June 11, 2008 Finally get artwork. Terrible. Am now almost a full week into the order process! Unbelievable. Everything is a mess and we’re now running into time where the items won’t be ready for the leadership program, I pull the plug. Cancel the order. He /they just could not seem to get anything right. I think everything is fine (other than the fact that I wasted nearly a week and that we won’t have these items for the Leadership Program).

The Leadership Program runs. I have a lovely summer in the city. Go about my business. Start exercising again. Do some outdoor grilling. Check in with my Parents. Have some drinks. Work. Summer turns into fall. Then things change…

On August 12, 2008 at 4:28:18 PM EDT I begin to receive a series of harassing, collections notices claiming VIPCG owes National Pen $326.24. You have to be kidding me. I cancelled the order months ago, the office never received anything. Unbelievable.

Now begins a ONE MONTH email and phone battle with Natl Pen Employee Name REMOVED – Natl Pen Employee Email REMO...@pens.com – regarding this phantom order. They were harassing me so much, and it was so time consuming, that our company President chose to, uncharacteristically, send them a check for $326.24 just to be done with the whole thing. They continued trying to collect AFTER we received the canceled check! Then they start harassing us for an additional $101.27! Crazy! This went on for another couple weeks finally ending on November 7 when a Manager from National Pen named Mike called me to say they’ve waived the additional $101.27.(FYI – I’ve elected to NOT include the email exchanges on this as this post is way too long as it is anyway

This was one of the most frustrating dealings with a vendor I’ve ever had. It’s my suggestion to never use this company for anything.

    Hey Josh , o your comments about Natinal Pen..I’ll grant you they aint got it together…but don’t be so hard on the reps , they have no freedom..and have to ask , someone about everything yo complained about.. Josh is one of the best Customer service reps out there…but he can only do what he is told he can do..let me ashure you on each and every problem you had …it took jim a day , a hour or 15 mins..he has to gothrough so many channels to process your order,

    You should just have asked to speak to a supervisor about it…then baby doll you would have had more problems than you did..they don’t know what they are doing….don’t blame the rep , he’s only following orders by National Pen Blame the company which is shit, I ougt to know I am his lover, he come ‘s home every day has had to see a Dr with nerves because of his bosses…next time go stright to the source or call the parent company Bern and Bern in New York..perhaps that will do more good , in lighting a fire under their arse, unless you have been in tele sale you don’t know what he goes through..Thanks Keith
